How Far in Advance Should I Book a Photographer for a Fixed-Date Event?

By Dmytro Derkach · Brussels-based commercial photographer

Book as soon as the date and venue are confirmed — not once the rest of the planning is done.

Availability is the first thing to disappear, so treat the photographer booking like the venue booking: locked in early, before catering, before the final guest list, before anything else that feels more urgent in the moment. A short call or brief a few weeks before the event is enough for the preparation itself — the walkthrough, the shot list, the priority moments — but the date needs to be secured months, not weeks, ahead for anything with a fixed, unmovable date.

  • Confirm the photographer at the same time as the venue, not after
  • Save the detailed brief for a few weeks before — it doesn’t need to happen early
  • Ask directly whether a backup photographer or second shooter is available if needed

The earlier the date is locked, the more of the actual planning conversation you get to have — instead of a conversation about who’s still free.

I bring in the right specialists — stylist, makeup artist, videographer — for each project, drawn from a trusted network, rather than a fixed team that may not fit your brief. On the day you deal with one person: me.
